Privacy Policy for SayOK

Who we are and how to contact us

This Privacy Policy explains how Cognivo Labs LLC ("Cognivo Labs," "we," "us," or "our") collects, uses, discloses, and protects information in connection with the SayOK mobile applications for Android and iOS and related services (collectively, the "Service"). SayOK is an AI agent that can place and join phone calls to people and organizations, speak on the user's behalf from typed input, and provide real-time translation.

By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

Scope

This policy applies to personal information we process when you use SayOK or otherwise interact with us. It does not cover third-party services you access through SayOK (e.g., telecom carriers, restaurants, hospitals) or providers we do not control.

Information we collect

Depending on your use and device permissions, we may collect:

a) Account and identifiers:

name, email, phone number, username, hashed passwords, authentication tokens, device and advertising identifiers.

b) Contacts and call addressing (permission-based):

contacts you choose to share (names, phone numbers); numbers you dial or that call you through the app; call routing metadata.

c) Call content and AI interactions:

text you type for the agent to speak; audio from calls and your in-app microphone when enabled; transcripts (speech-to-text) and synthesized speech (text-to-speech); real-time translation inputs/outputs; conversation context, prompts, and system responses.

d) Usage and diagnostics:

app activity, timestamps, crash logs, performance metrics; device information (model, OS version, language, timezone), IP address.

e) Payments and subscriptions (if applicable):

limited billing metadata from our payment processor (we do not store full card numbers).

f) Support and communications:

emails, in-app messages, survey responses, and attachments you send us.

Sensitive information:

Please avoid using SayOK to transmit protected health information, financial account numbers, government IDs, or other highly sensitive data. If you direct the agent to call medical providers or similar organizations, you are responsible for what you choose to share. Cognivo Labs LLC is not a covered entity or business associate under HIPAA.

How we use information

We use personal information to:

  • provide and operate the Service (place/join calls, synthesize speech, translate, transcribe);
  • maintain, secure, and improve quality and reliability; develop new features;
  • personalize the experience and remember preferences;
  • prevent abuse, spam, and fraud; protect safety and integrity;
  • provide customer support and respond to requests;
  • process payments and manage subscriptions (if applicable);
  • comply with legal obligations and enforce our terms.

Legal bases (EEA/UK users): Performance of a contract, legitimate interests (e.g., security, improvement), consent (e.g., microphone access, call recording where required), and legal obligation.

AI, speech, and telecom providers

To operate calls, speech, and translation, we use service providers, for example: telephony/call routing providers, speech-to-text and text-to-speech providers, machine translation and large language model (LLM) providers, cloud hosting, analytics, crash reporting, and content moderation vendors. These providers may process audio, transcripts, typed content, and metadata on our behalf under appropriate confidentiality and security obligations.

Call recording/notice: Where required by law, we obtain consent from you and/or play a voice notice/tone to the other party indicating that AI assistance or recording/processing is in use. You are responsible for complying with call-consent and recording laws applicable in your and the recipient's locations.

When we share information

We may share personal information with:

  • service providers processing data under our instructions;
  • telecom carriers to place and connect calls;
  • analytics and crash reporting vendors;
  • payment processors (limited billing metadata);
  • law enforcement or authorities when required by law or to protect rights and safety;
  • successors in interest (e.g., merger, acquisition, or asset sale) subject to this Policy.

We do not sell personal information or share it for cross-context behavioral advertising without your consent.

Data retention

We retain information only as long as necessary to provide the Service, for security, to resolve disputes, and to comply with legal obligations.

  • Call audio and transcripts: retained to operate the Service and improve quality; you may request deletion as described below.
  • Account data: retained while your account is active and for a reasonable period after closure.
  • Diagnostics/logs: retained for a limited period for security and troubleshooting.

We may de-identify or aggregate data for analytics and service improvement.

Your choices and rights

Permissions: Manage device permissions (microphone, contacts) in your device settings on Android and iOS.

Controls: Where available, you may review, export, or delete call transcripts/conversations in-app; opt out of non-essential analytics; or uninstall the app to stop new collection on that device.

Access, deletion, correction: Request access to, deletion of, or correction of your personal information at info@sayok.ai. We may verify your identity and account ownership.

Marketing: If you receive marketing emails, you can unsubscribe via the link in the email.

Do Not Track: We do not respond to browser DNT signals; we honor applicable opt-out rights under law.

International data transfers

We may transfer and process information outside your country of residence. Where required, we use appropriate safeguards (e.g., Standard Contractual Clauses).

Children's privacy

The Service is not directed to children under 13 (or the age required by local law). We do not knowingly collect personal information from children. If you believe a child has provided personal information, contact us to request deletion.

Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest where appropriate, access controls, and auditing. No system is 100% secure; please use strong passwords and keep your device updated.

State and regional disclosures

California (CPRA)

We collect identifiers; internet/activity information; audio/visual data (call audio when enabled); IP-based geolocation; in-app communications; and inferences for personalization. Purposes include providing the Service, security, debugging, short-term transient use, analytics, and internal R&D. We do not sell personal information or share it for cross-context behavioral advertising without consent. Rights include access/know, delete, correct, opt-out of sale/sharing, limit use of sensitive information, and non-discrimination. Submit requests at info@sayok.ai.

Virginia/Colorado/Connecticut/Utah and similar laws

You may have rights to access, delete, correct, and opt out of targeted advertising or profiling. Contact info@sayok.ai to exercise these rights.

EEA/UK/Switzerland (GDPR)

Rights include access, rectification, erasure, restriction, portability, objection, and withdrawal of consent (where processing is based on consent). You may lodge a complaint with your local supervisory authority.

Third-party services

If you connect to third-party services (e.g., carrier voicemail, scheduling systems, payment providers), their terms and privacy policies govern those services. We are not responsible for their practices.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version with a new effective date and, if changes are material, provide additional notice as required by law. Your continued use of the Service means you accept the updated policy.

Account Deletion Request

To delete your SayOK account and all associated data:

Send an email to info@sayok.ai with the subject line "Account Deletion Request" and include:

  • Your registered email address
  • Your phone number associated with the account
  • Confirmation that you want to permanently delete your account and all data

We will process your request within 30 days and confirm deletion via email. Please note that account deletion is permanent and cannot be undone.

Alternative: You can also request account deletion through the SayOK app settings menu.

Google Play Data Safety summary (disclosure mapping)

Data collected: personal info (name, email, phone), contacts (optional), audio (call audio/microphone when enabled), messages (typed text; call transcripts), app activity and diagnostics (crash logs, performance, interaction events), device or other IDs.

Data sharing: with service providers only to operate features (telephony, speech/translation, hosting, analytics, payments). Not sold.

Security: data encrypted in transit and at rest.

Data deletion: in-app deletion tools (where available) and by request to info@sayok.ai.

Optional permissions: Microphone (speak/transcribe); Contacts (select whom to call). The app works without contacts permission if you manually enter numbers.

Apple App Store Privacy Details (disclosure mapping)

Data collected: Contact Info (name, email, phone), Contacts (optional), User Content (typed messages; call transcripts), Audio Data (call audio/microphone when enabled), Identifiers (device/app identifiers), Usage Data (app interactions), and Diagnostics (crash and performance data).

Data use: App functionality (placing/joining calls, speech/translation), analytics, account management, and security. No data is used for tracking across apps or websites owned by other companies.

Data linked to you: Account and contact info may be linked to your identity for the purposes above. Diagnostics may be collected and not linked where feasible.

Data sharing: Shared only with service providers to operate features (telephony, speech/translation, hosting, analytics, payments). Not sold.
